📁 Document Upload Process

Attaching documentation is a critical step before your visit can be submitted for approval. Follow this sequence to ensure your files are processed correctly.

1. Add New Upload

Within the Uploads section, click the Blue + icon to initiate a new file transfer.

2. Select & Reference

Choose the document from your local drive. You will be asked to provide a Name for Reference. Please use sensible, descriptive names to help approvers identify the content (e.g., "Main Risk Assessment" or "Coach Provider Statement"). While we do not enforce a strict naming convention, clarity is encouraged.

3. The Security Scan

Click Upload. At this point, you must WAIT. The status ⏳ processing security scan... will be displayed on the screen. Every document is automatically scanned for safety and verified as a secure file before the upload completes. Once the scan is successful, the system will automatically return you to the main Uploads page.

4. Current Limitations

Currently, the portal supports one document upload at a time. There is no upper limit on the total number of documents you can attach to a single visit. If you wish to upload multiple simultaneous files the only way to do this is to compress the files into a single ZIP file. This may be useful to save time for all as that would be a timer saver for all involved (downloading the files later).

💡 Future Updates: The ability to upload multiple files at once is a feature currently under consideration for future system updates.
