📝 Creating a New Visit
Follow these steps to initiate a new visit record in the portal. Ensure you have completed your Personnel Setup before starting this process.
From your Home Page, navigate to:
Once inside the app module, follow the path:
Give your Visit a name, choose the appropriate Visit Category. If you are unsure of the category, click the i button next to A.1.2 - Visit Category
Use the calendar icon in the right of each date box to select start and finish dates of the visit. A.1.5 is a calculated field which populates later.
Once the basic details are entered, click the button at the bottom of the form. This will create your visit record, youre done, as simple as that!
System Setting: At this stage the vist MAY go to the Head for "Outline Approval" if it does you will not be able to continue to the next stage until the Head has returned the visit as (Outline) Approved. The Head COULD at that stage REJECT the visit and there would be no further action for the planned visit in that case. By default this setting is OFF and would generally only be ON if your Organisation's Policy was to do this.
Top Tip: At this stage you can click home/logout/close the app the visit is safely created for when you return. You do not have to complete the whole process in any one sitting the system will "save as you go" next time you come back to the system your visit will be in RED as it is "in progress"
