👥 Managing Staff & Associated Users

As a Key Contact, you manage the staff associated with your organisation. This is done via Admin > Manage People.

1. Updating Personal Details

Click Edit > Edit Details to update a profile. Important: For compliance, ensure the Telephone field contains a valid mobile number, especially for those in Visit Leader and Emergency roles.

⚙️ Understanding Portal Roles

In the Roles menu, tap a button to toggle it (Green = Active). Click DONE to save.

⚠️ IMPORTANT: Key Contact Warning

If you remove your own Key Contact role and click DONE, you will immediately lose administrative access to the portal. You will need to contact Delegated Services to have this restored.

Associated: The base level for any user linked to your organisation.
Emergency Contact: Required (x2 per school) for visit compliance. Mobile numbers must be supplied in their details.
EVC: Educational Visit Coordinator. Oversees the planning and safety of all trips.
H&S Contact: The designated Health & Safety contact for Delegated Services.
Head: Organisation Lead. Should typically hold the Visit Approver role as well.
Key Contact: Full Administrative access and Staff Management rights.
Newsletter: Opts the user into general communications from Delegated Services.
Visit Approver: Specific to the Head (or Deputy). This role allows final sign-off for visits.
Visit Leader: Users available for selection as a leader within a Visit form.
Visit Manager: Can create and manage visits (ideal for office or administrative staff).
Visit Viewer: Provides read-only access to view organisation visits.

📜 Accreditations

Certificates of Competence

Use the Accreditations button to upload proof of training, such as Visit Leader or EVC certifications. This creates a centralized record of staff competency for compliance audits.
